To substitute a missed visit

What to do in case I have to cancel a visit due to illness or for example a vacation?

Regular visits and pro-active communication regarding changes are very important, especially for older people - so let's focus on being thorough with this❣️

1. Call your customer and arrange your next visit, preferably for the same week. It is important that you always know the date you will see your customer and preferably reschedule the appointment rather than leaving it open. If you have fallen ill, please refer to the covid-19 guidelines.

You can substitute the visit by...

Booking a double visit with your customer the next time you meet, i.e. a single visit of four hours. In this case, please make two separate reports for 2h, so that we can make sure our visit-tracker stays up-to-date.

OR

Booking an extra visit during the following week. If you normally meet your client once a week, this would entail one week with two visit. In this case, both visits are reported normally.

2. Fill in the "Move-a-visit" form on the Staff-App. Both the relatives of your customer and the office staff will be informed about the changes made through this form. The transfer notification requires a date for the next visit - so if you haven't booked a time for you next visit yet, please enter a preliminary date, e.g. a few days away. If that time is not suitable, you can reschedule the visit if necessary. You can also contact us via the chat function on the Staff App. Often, relatives remind older people of upcoming visits, so it is important for them to be aware of the schedule of visits. This will also help us to keep better track of your visits, and to not remind you about missing reports when it is not needed 💗.

What if I don't have time or can't substitute a visit?

Let us know right away if you substitute your visits in the upcoming weeks or if you have problems with scheduling them. We will find the best Gubbe Helper in your area to fill in for you, so that the customer can be guaranteed regular Gubbe-visits. You can contact us via the Staff App or by calling us.
